What the venue needs from a table plan

A table plan is two documents that people tend to confuse. One is the floor plan: where each table physically sits in the room, which the venue needs so their staff know where to put things. The other is the guest list by table, which the caterer needs so the right meal reaches the right seat. Table shape decides more of the plan than most people expect. A round table seating eight gives everyone seven people to talk to and nobody a bad angle on the room. Long banquet rows seat more people in the same floor area and look better in photographs, but a guest halfway down one can realistically only talk to four others, so who sits beside whom matters far more. Mixing both is normal, and it is worth drawing rather than imagining.

Most venues ask for the final plan somewhere between a fortnight and a few days before the day, because that is when they order staff and confirm covers. The plan will change after you send it, and that is expected. What causes trouble is sending a version that was never written down anywhere, so the change cannot be described against it.
