Free event seating chart maker

Built for the events where seating is a logistics problem rather than a family one: galas, awards dinners, conference banquets and fundraisers. Place the tables, assign the seats, export the lists the room runs on.

Seating an event is not seating a wedding

At a wedding the hard part is the relationships. At a corporate or charity event the hard part is the obligations, and they are usually written down somewhere already. Sponsors bought tables and expect them near the front. Speakers need to reach the stage without crossing the room. The people your organisation is trying to thank should not be seated behind a pillar. None of that is a judgement call, it is a set of constraints, and a chart is the only honest way to check you have met all of them at once.

The outputs matter more than at a wedding, too. Catering needs headcounts by table rather than a total, because that is how service is staffed. The door needs an alphabetical list of who is at which table, because that is the order arriving guests present themselves in. The room set-up crew needs the floor plan. Those are three different documents from one seating decision, which is why the export here gives you the guest list as a table you can hand on rather than only a picture.

One practical habit: seat the fixed obligations first and lock them, then let everything else settle around what is left. Filling the room in list order and fixing the conflicts afterwards takes far longer, because every correction moves someone who was already placed.

Event seating questions

  • Can I use this for events other than weddings?

Yes. The tool works from tables, seats and guests, none of which are wedding specific. Galas, conference dinners, banquets, fundraisers and awards nights all use the same layout tools and the same exports.

  • Can I export a guest list for catering and the door?

The PDF export lists every guest against their table and seat, which is the format catering and door staff both work from. The image export gives you the room layout for the set-up crew.

  • How do I handle sponsor and VIP tables?

Place and fill those tables first, before anyone else goes on the chart. They are the constraints the rest of the room has to work around, and moving them later moves everybody.

  • Is there a limit on guests or tables?

No. Add as many tables and guests as the event needs. The plan is saved in your own browser, so nothing is sent to us and nothing is capped.
